1. What Will This Practice Management Software Actually Cost You?

The price on the website is just the door fee.

Inside, it’s time to pay the bills. Patient reminders? Extra. The patient portal? A separate module. Data migration? Another line item. A PM software vendor tells you that the price of their software is $300 per month. At that point, you realize that SMS reminders come in at an additional $80 per month, the portal at $50, and reporting is $75, and your onboarding was only free for the initial 10 users. Now, with your real bill, you will pay $600 for each month. In some cases, the total cost can end up significantly higher than the initial quoted price once additional modules and services are added.

In some cases, additional services and modules may increase costs beyond the initial quoted price. At Healthray, we built our hospital management software to end this game entirely. They email you all these PDF files that aren’t arranged in any order. They offer to pay $5,000 for “exporting and sanitizing. This is referred to as Data Lock-In. It’s the most costly shock you never receive any warning about.

For certain vendors, images and lab results are stored in separate silos. So if you request your data, you will only receive the patient list and not any attachments.
